Do You Need to Request PTO for the Memorial Day Holiday? YES!

The new One UMMS PTO program includes time for UMMS observed holidays, including Memorial Day, which will be observed this year on Monday, May 31. If you are observing this holiday, you need to request PTO. Because this is the first holiday under our new program, below is a reminder of how the program works, based on your role, your department and PTO accrual.

Exempt Yes No You will still take this day off. You should either submit a time-off request using the PTO Planned pay code or your manager/timekeeper will need to enter PTO Planned on your schedule. Your PTO accrual will temporarily go into a negative balance to cover the hours you were scheduled to work.
Exempt No Yes If you work on this day, you will be paid your normal base salary and may use these PTO hours another day. If you do not work on this day, you should either submit a time-off request using the PTO Planned pay code or your manager/ timekeeper will need to enter PTO Planned on your schedule.

If you do not work on this day, you may work weekends or have already met your weekly scheduled hours and not need to take PTO. Are hours for paid leave on UMMS observed holidays deducted from my PTO bank?
Yes. In the new program, paid leave on an UMMS observed holiday is taken from your PTO bank. These hours accrue like other PTO hours. Refer to the Observed Holidays policy for more information.

If I get called into work on a holiday, am I paid holiday pay and shift differential? Yes. If you are a non-exempt employee and are on call during an UMMS Observed Holiday, you will be paid your designated call rate for each hour you are on call. If you are called into work during the holiday hours, you will be paid 1.5 times your base hourly rate for all hours worked on the holiday, plus any applicable shift differential. You are also guaranteed four hours of pay thanks to the new Call In Guarantee.

What should timekeepers do if a team member did not request PTO for the holiday, but didn’t come to work?
If your team member didn’t request PTO on an observed holiday and your department is closed or they weren’t scheduled to work, timekeepers or managers should manually enter PTO Planned on the schedule before approving the timecard, but only if the weekly scheduled hours have not been met by the end of the pay week.

Does this apply to team members represented by a collective bargaining agreement?
Team members who are part of a collective bargaining agreement may not have transitioned to the new PTO program. Refer to your CBA for more information.
